The Pending balance view in Subotiz shows funds that have been received but are still in settlement. These funds will move to your current balance once settlement is complete, based on your payment cycle. This view helps merchants anticipate future cash availability and plan payouts effectively.
Accessing Pending Balance
- Open Pending balance: From the Finance > Balance page in the Subotiz admin, select View next to Pending balance.
-
Pending balance overview: The Pending balance view displays:
- Current balance: Total amount currently in pending status.
- Payment cycle: Number of calendar days before pending funds are released to the current balance. The countdown starts from the transaction date and follows your account’s settlement policy.
- Transaction table: Lists all unsettled transactions that make up the pending total.
-
Transaction table fields: Each row in the Pending balance table contains:
- Transaction time: Date and time the transaction entered pending status (usually the payment completion time).
- Transaction type: Category of the transaction (e.g., Payin, BatchSettlement). For the full list of transaction types, see Balance|Viewing and Managing Balance.
- Amount: Total gross amount before any deductions.
- Fee: Processing fees deducted before the amount moves to the current balance.
- Reserved amount: Portion of the amount held in reserve according to your rolling reserve policy. This is not released at the end of the payment cycle but follows a separate reserve period starting from the transaction date.
- Net amount: Amount expected to be transferred to the current balance after deducting fees and reserved amounts.
-
For example, if a customer pays $100.00:
- Processing fee: $3.00
- Reserved amount (10% rolling reserve): $10.00
- Net amount to be released after payment cycle (e.g., 7 days): $87.00
- Reserved amount ($10.00) will be released separately after the reserve period (e.g., 90 days).
Using This View
- Cash flow planning: Estimate when pending transactions will be available for payout.
- Settlement monitoring: Check which transactions are in progress and confirm settlement dates.
- Fee and reserve verification: Ensure deductions match your agreement.
- Issue detection: Identify transactions stuck in pending beyond the normal payment cycle.
Best Practices
- Monitor large pending amounts: Identify high-value transactions to ensure sufficient available funds for daily operations.
- Track release timelines: Use the Payment cycle column to forecast cash availability.
- Compare net amounts: Confirm they match your expected payout after deducting fees and reserves.
The Pending balance view provides a transparent breakdown of unsettled funds, helping merchants maintain cash flow visibility, verify settlement accuracy, and plan payouts with confidence.
