The Trade Orders dashboard centralizes all billing activity in Subotiz. With powerful search, filtering, detailed transaction views, and refund tools, it provides clear visibility into payment outcomes and helps you maintain accurate, audit-ready financial records across your business.
Accessing the Dashboard
- View Trade orders: Navigate to Transaction > Trade orders in the Subotiz admin. The dashboard lists each charge attempt as a row, offering a consolidated view of both historical and ongoing billing activity.

Review the list view: Each row displays essential transaction data so you can quickly understand the status of an order:
- Trade order ID: Unique identifier generated by Subotiz.
- External order ID: Reference from your own system, if provided.
- Order type: Indicates whether the order is a one-time payment, subscription creation, subscription renewal, or token charge.
- Payment method: The method used to pay, such as Card or PayPal.
- Customer: The buyer’s email address. If no email is available, Subotiz displays the internal customer ID.
- Amount: Total amount billed for this order.
- Created at: Date and time when the order was generated.
- Status: Current processing state of the order, such as Pending, Paid, or Refunded.

Search by Email or ID: Use the search bar at the top of the page to quickly locate specific orders. You can search by:
- Trade order ID
- External order ID
- Customer email
- Pricing ID
- Product ID
- Product name
Note: Email search is exact-match and returns all orders associated with that customer.

- Filter by Payment method: Use the Payment method dropdown to show only orders paid with a specific method, such as Card or PayPal. This helps you analyze transactions from a particular payment channel or troubleshoot payment-related issues.

Filter by Order type: Use the Order type dropdown to narrow down the list to a specific type of transaction:
- One-time payment: Orders that are not linked to a subscription.
- Subscription creation: First payment when a new subscription is started.
- Subscription renewal: Recurring payments generated at the start of each billing cycle.
- Token charge: Usage-based orders billed by tokens or other metered units.
- Apply a date range filter: Use the Start Date and End Date fields to show only Trade orders created within a specific period. This is useful for reconciliation, reporting, or reviewing activity after a campaign or promotion.

Filter by Status: Use the Status dropdown to focus on orders with a specific payment outcome:
- Pending: The Trade order has been created, but payment confirmation has not been received yet.
- Under review: The payment provider is still validating the transaction before returning a result.
- Paid: The payment has been successfully captured.
- Partially refunded: Part of the original amount has been refunded to the customer.
- Refunded: The full amount has been refunded to the customer.
Viewing Trade Order Details

Open detail view: Click any row in the list to open the Trade order detail page. The detail page groups information into several sections so you can understand the transaction at a glance.

Order details: The Order details section summarizes what the customer purchased and how much was charged:
- Shows the product image and pricing name.
- Displays Subscription and pricing model tags (for example, Flat price or Package price) so you can see which pricing configuration was used.
- Shows the Amount due and the actual amount charged for this order.
- For trial orders, the amount area shows Trial message so you can distinguish trials from paid renewals.
- For upgrade orders, the section reflects the updated pricing details after the customer upgrades their plan.

Payment Information: The Payment information panel summarizes how the customer paid:
- Channel transaction ID: Identifier returned by the payment provider.
- Payment method: The method used to pay, such as Card or PayPal.
- Payment provider: The payment service handling the transaction, such as Subotiz Payments.
- Card ending in: Last four digits of the card number, if applicable.
- Payment currency: Currency used for the charge, such as USD.

Customer Tracking: The Customer tracking section helps you understand where and how the order was created:
- IP address and country: Shows the IP address used at checkout and the country it resolves to.
- Device: Indicates whether the customer used PC or Mobile to complete checkout.

Additional information: The Additional information panel links the Trade order to other records in your Subotiz workspace:
- Customer: The customer’s email address or internal customer ID.
- Invoice: The invoice generated for this order, if any.
- Subscription: The associated subscription ID for recurring charges.
- Order type: Clarifies whether this order is a one-time purchase, subscription creation, subscription renewal, or token charge.

Timeline: The Timeline records all key events related to the transaction in chronological order, such as:
- Initiate Settlement
- Submit Payment
- Payment Successful
- Initiate Refund
- Refund Successful
This view helps you trace the full lifecycle of an order when troubleshooting payment or refund issues.
Refunding a Trade Order

Issue a refund: Refunds can be initiated directly from the Trade order detail page by clicking Refund in the top-right corner. When you submit a refund:
- Subotiz creates a Refund order to track the refund separately.
- Refunds are only available for orders with a Paid status.
- After submitting a refund, the Refund order ID appears immediately in the Refund details section without needing to refresh the page.

Best Practices
- Use filters to narrow your review: Combine Order type, Payment method, and Status filters to quickly identify the transactions relevant to a specific review or audit task.
- Search by email when assisting customers: Use the Customer email search to retrieve all orders linked to a customer and verify their payment history.
- Review the Timeline when troubleshooting issues: Check the Timeline to confirm whether a payment was captured, refunded, or still in progress.
- Cross-check invoices and subscriptions: Use the links in the Additional information section to validate billing, renewal, and refund records.
- Export data for reconciliation and reporting: Use the export tool to download transaction records for financial reconciliation, internal reporting, or sharing with your finance team.
